elockers processes personal data belonging to its customers, website visitors and other contacts. We do this to help the people involved as effectively as possible and to achieve our objectives. When you share your details with elockers, we understand that you may want to know why we request personal data and what we do with it. In this privacy statement, we explain why and how we process your personal data.

First and foremost, we believe you should be able to trust that your personal information is handled with great care. In this privacy policy, we describe how we collect and process personal information, taking your consent into account where this is legally required. Our website or vacancies may contain links to other companies and their services or products. We are not responsible for those companies’ privacy policies, products or services, or for their compliance with such policies. Who Are We?

We are elockers, an organization focused on providing lockers for rental and sale. This privacy statement applies to all our processing activities, including situations where we process personal data together with other parties. elockers is located at Overschiestraat 178, 1062 XK Amsterdam, the Netherlands.

When Does This Privacy Policy Apply?

This privacy policy applies to all personal data processed by elockers relating to anyone who has had contact with elockers, including visitors, staff and business contacts. elockers includes the following websites:

What Personal Information Do We Collect?

elockers processes your personal data because you apply online for a vacancy, register at one of our locations, request a quotation for lockers or staff, use our website, complete a contact form or sign up for our newsletter. Personal data means information relating to a natural person. This may include, among other things:

  • Name and address details

  • Telephone number

  • Email address

  • Date of birth and age

  • Gender

  • Curriculum vitae, CV

  • Information about education and internships

  • Work experience

  • Information about training courses and education you have previously followed, including with us

  • Information about your availability and leave

  • Other information that may be necessary to assess your suitability, such as references

  • Passport photo and personal videos

  • IP address

  • Internet usage information

When you work through elockers or for one of our partners, we may also collect the following data where applicable:

  • Nationality

  • Citizen service number, BSN

  • Identity document or passport

  • Work permit

  • Bank and payment details

  • Other information required for elockers’ HR activities, such as personnel, payroll and absence records

  • If you wish to access all personal data processing relating to you, or if you want to change or delete information that is not directly visible, you can contact elockers.

How Do We Collect Personal Data?

elockers uses your data for several different reasons. We explain these in more detail below. This section explains how we process data. We use data we receive from you, as well as data we collect ourselves. This includes, for example, information about your visit to our website.

Contact Information and Application Information

Your contact information consists of the details we can use to identify you or contact you. This includes your name and address details, telephone number and email address.

When you enter your details on our website, through external platforms such as Facebook, or when you register at one of our locations, your personal data is recorded. This data is recorded, among other things, to contact you and to carry out our HR services.

We may also keep minutes or notes of meetings in our CRM systems, Recruitee or Pipedrive. These notes may contain personal data. We communicate with the people involved through various channels, including telephone, email and SMS or WhatsApp. To make this possible, we also process personal data.

Data in Your Ubeya Account

We store data in your personal account in the Ubeya app or on the website. This data is linked to your registration, and you can update certain details yourself in your account. We collect data such as:

  • Name and address details

  • Nationality

  • Telephone number

  • Email address

  • Date of birth

  • Whether or not you have a driving licence

  • Education and education level

  • Citizen service number, BSN

  • ID card or passport number

  • Validity of identity document

  • Type of identification

  • Bank and payment details

  • Performance and progress

  • Interest in vacancies

  • Email and personalization preferences

In addition to wanting the best for our customers and partners, we naturally also want the best for our employees. We therefore retain your data until the legal obligation has expired. This legal obligation is seven years. You can request the deletion of your account at any time.

Newsletter

Most people sign up to stay up to date about new vacancies, promotions and interesting updates about elockers or our partners. Our aim is to keep people informed about these topics. We may collect your data in several ways:

  1. You can register through an external platform such as Facebook.

  2. You can register by asking us directly.

  3. You can register by signing up as an elockers employee.

To ensure that all employees within elockers stay informed about new vacancies and events, great competitions and other interesting updates personalized for the elockers crew, you will be added to our mailing list if you are registered as an employee. Would you prefer not to receive these emails and miss out on event schedules and promotions? That is, of course, also possible. You can unsubscribe by clicking the unsubscribe link at the bottom of the email, or by emailing us at info@elockers.com. We will make sure you are removed from the mailing list within two weeks.

Sometimes we ask for more than just your email address, such as your name, location and date of birth. This allows us to personalize the newsletter as much as possible. It also helps prevent you from receiving emails that are not relevant to you.

If you do not want to receive emails, you can unsubscribe at any time by clicking the unsubscribe link at the bottom of the email. You can also send an email to info@elockers.com asking us to unsubscribe you. We want to make this easy for everyone.

Leadinfo

We use the lead generation service provided by Leadinfo B.V., Rotterdam, the Netherlands. This tool recognizes company visits to our website based on IP addresses and shows us publicly available information, such as company names or addresses. Leadinfo also places two first-party cookies to evaluate user behavior on our website and processes domains entered in forms, for example “Leadinfo.com”, in order to correlate IP addresses with companies and improve its services. More information is available at www.leadinfo.com. You can opt out on this page: https://www.leadinfo.com/en/opt-out. If you opt out, your data will no longer be recorded by Leadinfo.

Marketing and Internet Data

Like almost every website, elockers stores internet data, your cookie ID, social ID, IP address and/or browsing behavior. The purpose of this is to provide website users with the most personalized experience possible. We only do this when you give us permission through our cookie notification.

We Cannot See Who You Are or Which Company You Work For

We also use so-called custom audiences on various social media platforms. This means, for example, that we may recognize that you have visited our website. We may then show you a relevant advertisement through a platform such as Facebook or Instagram.

Improving Our Website

We collect personal data to improve the performance of our website. This is done, among other things, based on previous visits to our website, where we can see which pages you have visited. For example, we look at cookies, your IP address, browser and which pages were of interest to you.

Other Personal Information

This is information we may obtain from publicly available sources or from partners. We may also collect information about others if you provide it to us. For example, this may include information about someone you know who would like to learn more about one of our vacancies.

Due to the nature of our services, we collect information about you. We need certain information from you to complete the process and, for example, to help you find a great job. It is important to us that the process of delivering our services is as simple, personal and reliable as possible. We are constantly looking for ways to improve our practices and align them as closely as possible with your personal needs. Therefore, with your consent where required, we may collect personal data for the following purposes:

Customer Administration and Services

In our customer administration, we keep records of which companies are or have been customers of elockers. We process personal data of contact persons, such as contact details, so that we can reach them. We communicate with our customers through various channels, including telephone and email. To make this possible, we also process personal data.

Quotations

To prepare a quotation, we process personal data such as contact details.

Making You a Real Locker Star, in Other Words, Hiring You as an Employee

When you enter your details on our website, register through an external advertisement or leave your details at one of our locations, your personal data is recorded in order to start the application process. The data is collected for the performance of our HR services, such as mediation, secondment, recruitment and selection, and personnel management. Your personal data is also processed for several other reasons, including:

  1. To link you to your personal account in the Ubeya application.

  2. To record hours worked.

  3. To process payments.

  4. To assess your suitability and availability in connection with mediation for permanent or temporary work.

  5. To enter into and maintain an employment, personnel or mediation relationship with you.

  6. To record an assignment with the client.

  7. To support your hospitality experience and personal development.

We also use contact and address details for our administrative processes.

Improving Our Webshop

elockers collects your browsing, search and contact behavior based on cookie technology, your IP address and the advertising number linked to the device you use to browse. This allows us to see which pages, texts and images you find useful and which ones we should improve. This helps us continuously improve the performance of our website for users. It also allows us to communicate relevant information to you and personalize it as much as possible.

Feedback

We may use your contact details to request feedback about our services, products and those of our partners.

Complying With Our Legal Obligations

We may be legally required to disclose personal information in connection with legal proceedings or if requested by enforcement authorities. To comply with the requirements of a valid legal process, we may disclose this information without your knowledge, without your consent and without notifying you. We also reserve the right to challenge access to personal information by authorities.

Use of Anonymous Information

We may use anonymous information to develop reports and analyses about which types of content and/or advertisements are viewed or skipped, for research and for other legitimate business purposes.

To Whom May We Disclose Your Personal Information?

At elockers, we place great importance on protecting personal information. We therefore only share data with relevant parties and partners when this is strictly necessary to provide our services or to improve the experience of our temporary workers and employees. We require them to handle your information with the same level of care as we do. They are also only permitted to use this data for the purpose for which it was shared.

Where required, and with consent, we may provide your personal information to third parties. This may also include third parties in countries outside the EU and Switzerland, where privacy rules may differ from those applicable here.

elockers Employees

Our employees may, with permission, access personal information. This group is and will remain limited to only those employees who need this information to carry out our business activities or improve performance. They will only receive the information necessary for the purpose for which it was shared.

Partners

To carry out our activities, it is necessary to share your personal information with our partners. elockers may provide your personal data to similar entities. If necessary, we may also share data with clients, suppliers and government authorities.

We also work with marketing and media partners who share one goal with us: to optimize and personalize the elockers experience as much as possible, both offline and online. This includes partners that act as intermediaries for websites and advertising platforms.

Buyer of Our Company

If another company acquires elockers or acquires assets of elockers that include or contain your personal information, that company will acquire the personal information collected by us, and the rights and obligations under this privacy policy relating to your personal information will transfer to that company.

Other Third Parties

Where necessary, we may also share personal information with carefully selected third parties. These are not recipients, but processors. We only do this when disclosure of the data is necessary for the delivery or performance of our activities. Where legally required, we will ask for your consent first. More information about the parties with whom we share your data is provided below.

How Do We Protect Your Personal Information?

All personal data is stored securely in our database, which is protected, and access is controlled to prevent unauthorized access. Your information is handled fully confidentially and discreetly. We require third parties to handle your information with the same level of care as we do. They are also only permitted to use this data for the purpose for which it was shared. If you feel this is not happening, please let us know immediately at info@elockers.com.

We have also implemented various additional measures to protect your data. These include technical and policy-based solutions, depending on the type of data you share with us. Examples include password protection, antivirus protection and access controls for new employees and partners.

To improve our platform, we use the statistics program Google Analytics. To protect your anonymity as a visitor, we have taken several measures. For example, we have entered into a processor agreement with Google Analytics, and the last octet, or number group, of each IP address is removed before the IP address is processed by Google Analytics. In addition, the data-sharing option has been disabled, meaning no data is shared with Google Analytics. This helps us safeguard your anonymity.

How Long Do We Store Personal Information?

elockers does not retain your personal data for longer than strictly necessary to achieve the purposes for which your data was collected. This always applies unless there is a legal obligation to retain personal information for longer. Data relating to temporary workers, employees and the provision of our services is retained for a maximum of seven years.

When you unsubscribe from our newsletter, your personal data will be removed from the mailing system within two weeks.

Rights

Under the GDPR, everyone has a number of rights. We do our best to comply with these rights. To exercise your rights, you can contact us at info@elockers.com. Your rights are listed below:

  • Information and access: you can request access to the personal data we process about you. We will also be happy to explain more about how and why we process that data.

  • Rectification: if you believe we have incorrect information about you, please let us know and we will correct it.

  • Erasure: you can ask us to delete the personal data we hold about you. In some cases, we may still need to process certain data for other purposes, such as administration or deduplication.

  • Restriction: if you believe we are processing your personal data unlawfully or incorrectly, you can request that the processing be restricted.

  • Objection: you can object to the processing of your personal data. If this concerns marketing, we will stop the processing as soon as possible.

  • Data portability: this is a right under the GDPR that allows you to transfer, or have transferred, your personal data. If you would like to exercise this right, please contact us.

Third Parties

We use service providers to perform our services. These are not third-party recipients, but processors. We work with, among others, the following parties:

  • CRM software from Pipedrive and Recruitee

  • The Google Drive cloud environment

  • The Exact accounting program

  • The Moneybird invoicing program

  • Payroll software from RS Finance

  • Contract signing through Sign Request

  • The Ubeya planning tool

  • Website statistics from Google Analytics

  • Website statistics from Facebook

  • Clients looking for suitable candidates

  • Usability insights through Hotjar

We require all third parties to treat the information confidentially, protect it securely and use it only to provide the products or services mentioned to us. It is also possible that we may be legally required to disclose personal data to authorities or other third parties.

We never sell your personal information to third parties and will never misuse your data.

Viewing, Changing or Deleting Data

You have the right to access, correct or delete your personal data. You can do this yourself through the personal settings of your account. You also have the right to withdraw any consent you have given for data processing, object to the processing of your personal data by our company and exercise your right to data portability. This means you can submit a request to us to send the personal data we hold about you in a computer file to you or to another organization named by you.

If you wish to exercise your right to object and/or your right to data portability, or if you have other questions or comments about data processing, please send a specified request to info@elockers.com.

To make sure the access request was made by you, we ask you to include a copy of your identity document with the request. In this copy, please black out your passport photo, MRZ, meaning the machine-readable zone, the strip of numbers at the bottom of the passport, passport number and citizen service number, BSN. This is to protect your privacy.

elockers will respond to your request as quickly as possible, and in any case within four weeks. elockers would also like to point out that you have the option to file a complaint with the national supervisory authority, the Dutch Data Protection Authority, Autoriteit Persoonsgegevens. Cookies

Cookies are small pieces of information stored by your internet browser, which collect the following data:

  • Your browser type and operating system.

  • The web pages you have visited and the duration of those visits.
